Best Practice: Deleting an item from a list/ Running workflows on items that have been deleted

Server was unable to process request. Item does not exist. It may have been deleted by another user.

Recommendation:

It is recommended that administrators stop the workflow and delete the required item. Due to the behavior of SharePoint, the workflow will not be cancelled when an item is deleted. The workflow will still be displayed in reports and you will receive the error message “Server was unable to process request. Item does not exist. It may have been deleted by another user” when the workflow runs on a deleted item.

This is one reason for the above error message. If you have received this message and the above information does not apply to you, please contact Support@nintex.com

What is the best process to follow when exporting a list or site that contains workflows? 

Unfortunately list templates (or lists inside site templates) handle workflows very poorly. Errors occur with both SharePoint Designer created workflows and Nintex created workflows.

There is no way to export the list without the workflow. You need to remove the workflow from the list, and then create the list template. You can then export the workflow manually from the workflow designer and import it at the newly created destination list.
To remove a workflow from the source list (this will not delete the workflow; it will appear as an unpublished workflow, however, it WILL break any running instances).

1.       Open the list where the workflow exists.

2.       Select the List tab in the Ribbon and click the Workflow Settings button.

3.       You will see a list of all the previously published versions of the workflow. Select Remove a workflow, atthe bottom.

4.       Select the Remove option next to all Nintex workflows and versions and click OK.

5.       All internal SharePoint references between list and workflow have now been removed and the list template can be safely created.

As mentioned above, this process does not delete the workflow.

To view all the workflows:

1.       Select your list, and click on the List tab in the Ribbon.

2.       Open the Workflow Settings drop down menu, and select Manage Workflows with Nintex Workflow. You will see all the workflows are now listed under the unpublished category.

When you create the list on the destination site, those workflows will not appear as unpublished. You will need to export the workflows manually and import them at the destination. The Import and Export feature is discussed in our Help File here:

List form web part language issue

I have a problem with the List Form web part. When I set up the web part property "Content type" (Item for English and Element for Danish), but when the user sets the language to another one set in the web part properties; then the user gets "Value does not fall within the expected range." error.

Is there any way to have the same form show up no matter which language you are on?

Update an AD distribution group with accounts from an Sharepointlist

Dear nintex community,

 i have a custom sharepoint list which has a people picker column which can hold multiple values. The values in this column are updated frequently. Some people are deleted, some are added during the day.

To create a newsletter i want to add all of the people from this column to an Active Directory distribution group. As this has to be done frequently, I creates a scheduled site workflow, which should do the job every night.

It works great - as far as i only have to add people to the group. But what about deleting the accounts from the distribution group, that are no longer in the custom list ?

My idea was to completely clear the distribution group, before I add all of the accounts in the list....and here comes my problem:

How can i completely clear an AD distribution group with nintex ?

I have tried "query LDAP" Action with the following statement:

Query: (&(ObjectClass=Group)(CN=Name of AD Group))

Property to retrieve: member

 Which returns me all recent members of the group in hierachical format. Then I struggeled around a bit with the regex action to seperate them abd write them in a collection variable. then i tried the "for each" statement to delete every single user fron the group, but as i do not have the account names in the format domain\username - this also doesn't work.

Can anyone help me out with my challange to keep an AD distribution group updated with the values from a multiple people picker column from a custom sharepoint list ?

Assign all nintex tasks to another user

Example: User A has 10 tasks on different site(collections)  With the nintex farm task view the user can see that he has multiple tasks to do.

Is there a way an admin can see an overview of task of a specific users over the collections.  For 1 site it's easy to view just the list off course.

 

If user A leaves the company and does not delegate his tasks manually they keep assigned to A forever.

How can we (as admin) assign multiple tasks on different site collections to user B?

Using Web Service to terminate the previous version of a workflow

Hi,

Currently I am developing a workflow (workflow A) that terminates another workflow (workflow B) on a different item in the same list. I am using the TerminateWorkflowByNameForListItem web service to acheive this.

During my testing, I was attempting to terminate workflow B from workflow A on a particular list item, however the action was executing without terminating workflow B. I then noticed that for some reason or another, workflow B had been republished between my bouts of testing. This caused the item running workflow B to run a previous version of the worfklow, which seemed to be why the web service couldn't terminate the workflow (it worked fine once I tested with a current version of workflow B).

I'm just wondering if anyone knows any workarounds for this, as once the workflows have been put into a live environment, it will be very time consuming to re-start workflow B on a potentially large quantity of existing items if we ever need to make changes.

Current list not updating after update item and commit.

I have a SP201 workflow that sets a status field on the current list item.  A few steps later, the list does not show the updated status but shows the old status.  I have tried "Set field value" then "Commit pending changes".  The I wait for the status to = the value set from 2 steps ago.  If during this wait I view the data in the list, the field I set is not set.  Loggin to the workflow history shows the value is set in the workflow.  Latter in the workflow I can log to the workflow history showing the original value instead of the set value.

 Adding a wait for 5 minutes after setting the value helps the problem but does not get rid of it al together.

 

Any suggestions on this issue?

We use SiteCollection Reusable Workflow Template.

When start Workflow on library to subsite and try request user data we get message:

Applying Document Level Security in Workflow

I have documents in a document set that security is applied through the Nintex workflow based on the content type (e.g. content type A is opened to security group 1 and 2, content type B is opened to security group 1 and 3).  The security workflows (applies the permissions) is run every time the document is updated (and of course when it is created).

The workflow seems to run fine the first time however when it runs again certain permissions are not applied and the users think the document is deleted/gone as no one besides admins can view it.  We have some sensitive information on our SP site so really need the security working.

What are we possibly doing wrong?  Is the problem because we are applying permissions on a document level within a document set?  Why does it seem to work one time and then lose security on the next update?

Any help here is greatly appreciated.

Hi,

after updating Nintex Workflow 2010  to version 2.3.9.0 (previouz version 2.2.3.0). My workflows start to fall into error (Could not find stored procedure 'SetHumanWorkflowApproversMetadata_SystemUpdate') in Flexi Task step. For this flexi task i have created custom approve form (using example from NintexWorkflow2010SDK.chm) in VS2012 and it worked without problems until now.

Can somebody point me in right direction?

LazyApproval footer for Approval tasks not appearing

Hi 

 

The lazy approval footer for the Approval tasks which was set up in the CA -->Nintex Workflow Management --> LazyApproval Settings --> Manage LAzyApproval Footers is not appearing at the end of the email of the Approval task notification.

I have tried to start a new workflow instance and still it does not work 

 

Is there anything that i need to do to make that appear? any pointers/suggestions would be very helpful. Thanks

 

 

Error Message: Failed to invoke Microsoft Exchange web service. Task item failed with response code ErrorFolderNotFound.

"Failed to invoke Microsoft Exchange web service. Task item failed with response code ErrorFolderNotFound" 

This error message can appear when using the Create Task action.

The error refers to a permission issue. The username and password within the Create task action must have ‘Assign to’ permissions on the user’s Exchange mailbox. You can verify that the action is working by first changing the ‘Assign to’ to be the same as the username already selected.

Nintex 2010 workflow manager inheriting initiator's domain

Well this is just plain weird, I have an issue with a workflow error when the initiator and their manager are on two different domains.  Let us say the initiator is on Domain1 so they would look like this:

Domain1\initiator

The workflow, using an Assign Flexi-Task, sends an e-mail notification via its lookup to Manager (meaning the initiator's manager).  Now this works perfectly unless the initiator's manager happens to be in a different domain than the initiator like this:

Domain2\initiator's manager

In these scenarios the workflow fails with an error stating it cannot locate the e-mail address for the initiator's manager via the lookup.  Upon closer inspection of the error we notice the initiator's manager looks like this:

Domain1\initiator's manager

Yes, for some odd reason the manager's domain isn't reflected as theirs but instead have been superimposed by that of the initiator's. This should be Domain2 and not Domain1.  Obviously such a domain/user combination doesn't exist within AD and is invalid resulting in the workflow error.

I suspect this has something to do with AD and am wondering if anyone else has ever experienced such an odd issue.  If so I would be most appreciative for any guidance or insight.

Error with calculated value in forms v 1.2.1

Hi,

 I have downloaded and installed nintex forms 1.2.1. Since this installation, I have a new issue: if a want to use a calculated value and make field 1 * field 2 I get an error when i enter a value in field 1 or field 2. The error is the following:

Error in fomula: Unable to get value of the property 'isNumeric': object is null or undefined

In previous version, the calculated value field was working correctly.

I have tried with decimal, integrer or currency. All the 3 options were generating the same error.

Please help.

I created an app in SharePoint 2013 on Premise. Then i went to _layouts/managefeatures.aspx page in order to activate Nintex Workflow 2013 Feature (Web Scope as site collection feature already activated).

After feature activation wen to a document Library in order to attach already created workflow. 

 After that clilck on Library tab and click on workflow setting and there I got the Nintex Workflow Options. so i clicked on Create a Nintex Workflow and got error

The endpoint _layouts/15/nintexworkflow/workflowdesigner.aspx is not accessible in the context of a SharePoint App

Surprised... !!!!!

So went back in browser and click on manage Nintex Workflow and again got error...

The endpoint _layouts/15/nintexworkflow/workflowgallery.aspx is not accessible in the context of a SharePoint App....

 

 

 


AddContextDataToString in custom Flexi task form

Hi,

can somebody help me with my issue?

I would like to read Workflow variable in my custom form.

I have this:

string text2 =_task.WFContext..AddContextDataToString("{Common:ItemUrl}", true);  - this one works 

string text = _task.WFContext.AddContextDataToString("{WorkflowVariable:TestVar}", true); - this one doesnt. "{WorkflowVariable:TestVar}" string is saved into text variable.

What do I missed ? :)

Workflow Getting Stopped, when I try to complete workflow task in Sp 2010 Post migration from MOSS 2007.

After Migrating MOSS 2007 into SP 2010 when ever I'm trying to complete a task in the SP 2010 environment. The specific workflow getting stopped and not move to the next level at the same time in my Sharepoint log written this Nintex exception as shown below,

Attach completed form

Hi

 

I am very new to the Nintex environment and I am having an issue with my notifications. The end user will not have access to the sharepoint site (as it is an external provider) and I would like to be able to attach the completed form (as an image or pdf, or anything for that matter) to the notification. Currently I send all other related attachments and I have searched the forums and the web and everything mentions/points to Muhimbi as the solution. Is this true or is there any other way. My form also has a repeating section so I can not just simply create a table.

I new to Nintex workflows, and I am trying to figure out how to use a workflow to create a new item in a different list (I think I have this part figured out), and then to set some of the fields in the new item to the values from the original list.  Any help would be appreciated, thanks!

Copying Documents between site collections

I am currently trying to copy a document from a library in Collection A to a library in Collection B.

I am using the COPY(CopyIntoItems) webservice to perform the task and although it creates the document in the library it does not contain any content.  From further investigation it seems as if I need to include the document content in the <stream> tag if I want an exact copy of the doc and not just an empty doc.  I have tried to use the Copy(GetItem) webservice to return the content into a variable which can then be used in the <stream> tag however I have since found out that SharePoint(Nintex) does not have a variable type that can handle such an array....

The other option I have spotted is using the [FileData] token which should pick up the content from the source file however whenever I include this I recieve the following error:

Failed to invoke web service. Object reference not set to an instance of an object.

Here is the Soap for the Webservice I am using (Obviously with the Source and Destination omitted:
